Core Function
This position provides professional, confidential and administrative executive secretarial support to the Office of the CEO.
Scope & Major Responsibilities
- Provides administrative and executive secretarial support to the Office of the CEO.
- Coordinates administrative duties of the CEO’s office, including scheduling appointments and meetings, archiving documents and processing mail.
- Formats, edits and coordinates the submission of reports Prepares, edits and circulates a variety of correspondence, including those of a confidential nature.,
- Prepares confidential correspondence.
- Takes, prepares and distributes meeting minutes.
- Arranges and schedules appointments and meetings.
- Arranges registration to conferences, workshops and training sessions. Arranges travel plans, travel expense advances and itineraries, as required.
- Prepares, distributes and monitors completion of all annual performance assessments for the Division.
- Assists with the monitoring and completion of leave requests.
- Receives, screens and expedites telephone, written and in-person enquiries and determines appropriate action.
- Balances monthly credit card expenditures and completes reconciliations. Initiates GL coding for expenditures.
- Plans and coordinates special events.
- Performs other related duties as assigned.
Qualifications
- Graduation from a two-year business-related program.
- Typing speed of 55 w.p.m.
- Two years’ related senior administrative experience.
- Experience within the arts and culture sector would be considered an asset
- Ability to deal with sensitive information in a confidential manner.
- Ability to compile and coordinate information to compose correspondence and reports.
- Ability to establish and maintain effective working relationships.
- Ability to work with minimal supervision.
- Demonstrated commitment to equity and inclusion. - Demonstrated skill in the use of a computer utilizing Microsoft Office Suite; including skill in the understanding, use and support of current position related technology applications and processes including virtual meeting platforms and project management applications.
