Core Function
This position provides a professional level of confidential administrative and executive secretarial support to the Office of the CEO.
Scope & Major Responsibilities
- Provides confidential administrative and executive secretarial support to the Office of the CEO.
- Performs administrative aspects of the Office of the CEO, including scheduling appointments, ordering office supplies, processing mail, and other documentation, and archiving documents.
- Requisitions payments for office expenses, compiles expense reports, processes invoices and reconciles statements.
- Arranges registration to conferences, workshops, and training sessions.
- Coordinates national and international travel requirements, associated meeting, agendas and reservations as required.
- Monitors, researches, assembles, prepares, proofreads, and edits reports and professional correspondence including those of a confidential nature as required across multiple platforms.
- Prepares and distributes agendas and materials for meetings and records, prepares and distributes meeting minutes as required utilizing Robert’s Rules of Order.
- Balances monthly credit card expenditures and completes reconciliations.
- Receives, screens and expedites inquiries, determines appropriate action, and ensures all inquiries have been addressed.
- Prepares and distributes agendas, action-item lists, slide presentations/visual supports and materials for meetings as required.
- Plans, organizes, coordinates and participates in programs and/ or events as required.
- Performs other related duties as assigned.
Qualifications
- Graduation from a business college.
- Typing speed of 55 w.p.m.
- Four to six years’ related experience at a senior administrative/secretarial level.
- Experience within the arts and culture sector would be considered an asset.
- Demonstrated initiative, resourcefulness, and strong organizational skills.
- Ability to communicate effectively, orally, and in writing, including the facilitation and presentation of information.
- Ability to deal with sensitive information in a confidential manner.
- Ability to multi-task and prioritize duties and responsibilities in a fast-paced environment.
- Ability to create correspondence and reports with a high degree of accuracy and efficiency.
- Ability to deal courteously and tactfully with others and to establish and maintain effective working relationships.
- Ability to work with minimal supervision.
- Demonstrated commitment to equity and inclusion. - Demonstrated skill in the use of a computer utilizing Microsoft Office Suite; including skill in the understanding, use and support of current position related technology applications and processes including virtual meeting platforms and project management applications.
- Experience with or willingness to gain the required skills with Trello, Salesforce, Delphi, SAP, and QBO
