CORE FUNCTION:

This position is responsible for the strategic development, planning and administration of a comprehensive exhibition program and the management and oversight of Exhibitions staff, interns, vendors, and independent contractors including guest curators, in collaboration with the Director of Exhibitions and Collections/Chief Curator.

SCOPE AND MAJOR RESPONSIBILITIES:

  1. Manages assigned staff; hires, assigns work schedules, and collaboratively plans for future workforce needs. Plans, organizes, directs, monitors and evaluates the work of staff and disciplinary action when required.
  2. Liaises across all departments as well as with artists and guest curators for all exhibition and other related projects; schedules and leads departmental and interdepartmental meetings and project specific meetings; sets agendas and prepares planning documents, and communicates action items.
  3. Assists with the preparation of strategic business planning and annual budgets.  Manages budgets for exhibition and other related projects, coordinates budget review meetings, as needed. Creates budget projections for future planning purposes. Tracks budget expenses for each exhibition and other related projects and processes and tracks invoices and payments to institutions, artists and vendors.
  4. Assists with the preparation of grant and other funding applications and reporting to funders, ensures that exhibition credit lines reflecting funding are updated and are available to all staff. Identifies support opportunities as it pertains to the activities of the Exhibitions and Collections department in collaboration with the Development department.
  5. Facilitates strategic alignment of the exhibition program, working with all interested parties to ensure that projects align with the Museum’s mission and brand; manages the review process for exhibition and other related projects, helping to identify and negotiate appropriate exhibition opportunities.
  6. Participate in negotiations and secures approvals from regulatory agencies to meet project requirements.
  7. Drafts, negotiates, and processes exhibition-related contracts and coordinates internal reviews to secure approvals.
  8. Collaborates with internal and external partners to develop detailed production schedules
  9. Determines dates and deadlines for exhibition and collection rotations; creates, circulates, and updates the exhibition calendar and other organizational schedules and timelines ensuring realistic workflows for all participants in the delivery of exhibitions; develops processes, procedural documents and style guidelines for exhibition planning; coordinates the completion of checklists, floor plans, labels, text, graphics, and other design elements, including interactive materials for exhibitions, for distribution, review and approval.
  10. Manages outgoing touring exhibitions, working closely with curators and registrars to prepare prospectuses and secure venues; delivers exhibition materials to venues and serves as the main contact. Schedules and completes follow up with other institutions regarding incoming exhibition proposals.
  11. Develops and implements evaluation tools to measure, interpret and analyze the outcomes of exhibitions and other related projects relative to the strategic and business plans; leads debriefing meetings at the close of all exhibitions and oversees the preparation of internal and external post-exhibition reports.
  12. Collaborates and participates in the planning and delivery of exhibition openings and other museum hosted events.
  13. Supports and promotes the health and safety of employees/public in accordance with the Saskatchewan Employment Act, Saskatchewan Health Regulations and Standards, Occupational Health & Safety Regulations and all Occupational Health & Safety policies and departmental procedures.  Maintains and monitors programs which impact employee health and safety.
  14. Performs other related duties, as assigned.

EDUCATION, TRAINING AND EXPERIENCE REQUIREMENT:

  • University degree in art history, museum studies, arts administration or related field. 
  • Project management certification would be considered an asst.
  • Three years’ related experience in an exhibition management capacity.  
  • Equivalent combination of relevant education and experience may be considered.
  • Level 3 OHS Supervision and Safety – WorkSafe Saskatchewan
  • Thorough knowledge of art history.
  • Knowledge of museum standards and practices for exhibition management.
  • Knowledge of art handling, shipping and collections care.
  • Ability to manage multiple projects with competing deadlines.
  • Strong communication and interpersonal skills.
  • Demonstrated ability to build and maintain effective relationships
  • Demonstrated ability to direct and support staff in achieving desired results.
  • Ability to maintain a high level of professionalism, discretion, and confidentiality related to Museum collections and operations.
  • Ability to think strategically.
  • Demonstrated organizational and planning skills.
  • Demonstrated skill in the use of a computer with Microsoft Office software, Google Sketchup, project management software and collection management systems, such as TMS.
